Ministry Assistant Job Description
Summary Statement
The Ministry Assistant exists to support the whole ministry of Faith Baptist Church. This position serves the pastoral staff, ministry leaders, and the congregation by carrying the administrative, communicative, and organizational work that makes effective ministry possible so that the church can give itself fully to its mission of following Jesus and making disciples.
This is not primarily a secretarial role. It is a ministry role. The Ministry Assistant will be the first person a visitor meets, the first voice a caller hears, and will handle the wide range of behind-the-scenes tasks that keep every ministry of the church moving with excellence. This position will bring both the organizational ability to support a busy ministry environment and the relational warmth to represent Christ well to everyone they encounter.

Hours: Monday – Thursday, 9:00AM – 3:00PM
Pay Rate: $15.00/hour (24 hours/week)

Primary Responsibilities:
Representing the Church
- Serve as the primary point of contact for members, guests, and the broader Claremore community by phone, email, and in person
- Welcome visitors and members with warmth and professionalism, reflecting the character and values of the church
- Field general inquiries and connect people to the appropriate pastor or ministry leader
- Handle benevolence requests with compassion, discretion, and follow-through
Supporting the Ministry Team
- Assist the pastoral staff and ministry leaders with scheduling, correspondence, and project coordination
- Anticipate ministry needs and take initiative on tasks before they become urgent
- Help prepare materials for sermons, meetings, Equip Classes, and other ministries
- Assist with research, document preparation, and miscellaneous tasks that help the ministry team prepare and serve effectively
- Serve as a coordination point between staff, ministry leaders, and volunteers
Administrative Support
- Manage voicemail, email, mail, and day-to-day office communication
- Prepare weekly bulletins, prayer sheets, and announcement slides
- Maintain church records, attendance, and member directories in Planning Center
- Keep office systems organized so that information is accessible and ministry is not slowed by administrative gaps
- Maintain official church records: membership rolls, baptism records, and ministry documentation
- Assist the financial secretary in billing processes
Communication & Media
- Update the church website and social media platforms (Facebook, Instagram) with current information, events, and ministry news
- Coordinate announcement slides, worship center print materials, and bulletin board signage
- Manage member and guest communications through the Church Center app
- Design basic print and digital materials using Canva or similar tools
Facility & Ministry Coordination
- Track and manage the church calendar and facility reservations
- Order and restock office, kitchen, and ministry supplies
- Coordinate logistics for churchwide events, ministry gatherings, and special services
- Support setup and communication for events across all ministry areas: students, women, children, and community outreach
- Coordinate with ministry partners such as The Good Samaritan Ministry
Qualifications:

- Active faith in Jesus Christ; membership (or willingness to pursue membership) at Faith Baptist
- Agreement with Faith Baptist’s Statement of Faith and doctrinal commitments
- A heart for ministry—sees administrative work as serving God and His people, not just completing tasks
- Treats every interaction—member, guest, or caller—as an opportunity for ministry
- Humble, servant-hearted, and a team player with pastoral staff and ministry leaders
- Handles sensitive information (counseling, finances, member records) with trustworthiness and discretion
- Adaptable and calm problem-solver when unexpected challenges arise
Skills & Experience
- Organized, detail-oriented, and self-motivated with strong time-management skills
- Strong written and verbal communication skills
- Proficient with email, Microsoft Office or Google Workspace, and basic office software
- Familiarity with Planning Center / Church Center (preferred)
- Canva or basic graphic design experience (preferred)
- Friendly, professional, and service-minded in all interactions
